Notice of Extraordinary General Meeting

TO ALL AFFILIATES, AND REGISTERED MEMBERS:

This is the official notice convening an Extraordinary General Meeting (EGM) to amend the Federation's Articles of Association (AOA).

  1. Meeting Details:

    1. Date: Monday, 26 January 2026

    2. Time: 18:45 – 19:45 (Please arrive by 18:40 for registration)

    3. Venue: Meeting Room, Olympic House, 1 Stadium Path, So Kon Po, Causeway Bay, Hong Kong

  2. Primary Agenda:
    To consider and vote on proposed amendments to the Federation's Articles of Association (AOA) to modernize governance and support future development. A summary of key changes will be presented.

  3. Action Required for Members:

    1.  REVIEW THE DOCUMENTS: Members must review the proposed amendments before the meeting.

    • RSVP Deadline: Monday, 25 January 2026, 23:59 HKT.

  1. Quorum & Voting:
    As per our current AOA, the meeting must achieve a quorum of 2 to proceed. Each Eligible Member is entitled to one vote.

  2. Eligible Member:

    1. Eligible member (can attend and exercise their voting rights in the general meeting)
      (1) a current member
      (2) have been a member of the FDFHKC（or Dodge Disc members who are in HKRT or level 2 or above Dodge Disc coaches)）  for three consecutive years
      (3) 18 years old or above on the day of the vote

  3. Proxy Voting:
    Members who are unable to attend may appoint a proxy to vote on their behalf. A proxy appointment form will be made available to members at a later date.
